Our work at Conclave Healthcare Training is based on the belief that empathy for, and support of vulnerable people is a moral imperative. Humanistic social support of the person is an essential aspect of care delivery which is often taught, but can be difficult to translate into actions with tangible benefits for those we serve. To support that end, it is the purpose of this organization to disseminate the most current, state-of-the-discipline knowledge to our students in ways that make grasp of that knowledge, and the actions that follow, conscientious, intuitive, and easily applied in practical healthcare and caregiving scenarios.

Students must also be able to physically perform the necessary duties specified by the program, which include lifting, repositioning, sitting, standing, and otherwise moving human patients.
It is the responsibility of the individual learner to be aware of all risks and compliance requirements specific to their physical, educational, and professional needs. Conclave Healthcare Training is not responsible for an individual’s personal or professional non-compliance with State or Federal regulations which they may be subject to. DSHS approved courses available through Conclave Healthcare Training are valid only in the State of Washington, and/or only if recognized by organizations/institutions requiring completion of such curricula for compliance.
EMS/ASHI approved courses offered by Conclave Healthcare Training are recognized nationally, but may be subject to approval/disapproval by organizations/institutions with which an individual is affiliated.
Grades are determined on a pass/fail basis. Examinations proctored are dictated by the Washington State DSHS, or EMS/ASHI, and are subject to passing thresholds of 80% correct responses or greater.
Student proficiency in specific subject areas covered within approved modules is determined by the instructor via classroom discussion/participation, or demonstration.
Student dismissal from a given course mid-module may be made at the discretion of the instructor for behavioral issues, non-participation, repeated failure to grasp course material, or any other reason deemed necessary by the instructor. Full monetary refunds will be made to students dismissed in such cases.
Students dismissed from a given course for behavioral reasons may be re-admitted only at the discretion of the Director, and only after careful review of information specific to the occurrence(s) in question.
Students with previous history of failure to pass/complete coursework for academic or participatory reasons will be allowed up to three attempts to re-enroll and satisfactorily complete a given course. In cases where an individual has failed to pass a given course for academic reasons after three attempts, any future re-admittance will be at the discretion of the Director.
Student grades are reported to the Director via submission and review of approved hard copy examinations. Results are tabulated and recorded digitally in each student’s record/account. All records will be kept for a period of 50 years.
If Conclave Healthcare Training ceases to operate within this timeframe, records will be submitted and curated with the proper state authorities. Students may request a digital or paper copy of their transcript from the Director (info@conclavetraining.com) at any time by making such a request via email, and remitting the administrative fee of $5.00 per copy.
Although accommodation will be attempted in the event of tardiness, if a student arrives more than 10 minutes late to a given class time, a remedial meeting or attendance time may be required at the discretion of the instructor.
Repeated tardiness to instructor-led course modules may result in dismissal from the course.
Absence from a given course, either in its entirety, or as a module within a course of longer duration will require either attendance for that module at a later date, or issuance of a refund for the cost of the course/module, after which time the student will have the option to re-enroll at their discretion and convenience.
No course completion certification will be issued until the student has satisfactorily completed all required coursework/modules for a given certification.
As all modules of all courses currently available are instructor-led, either virtually or in-person, “makeup work” necessarily consists of attendance for the appropriate module at a later time/date. In the event that Conclave Healthcare Training seeks and is granted approval to offer courses or specific course modules in a virtual format where material is available in a pre-recorded format, and/or is pre-assigned to the student for completion at their convenience for later review by an instructor, attendance at any specific time for such modules will not be required, but will be completed at the student’s own pace.
Access to additional modules further in the course progression (in the case of multi-module courses) may be prohibited until “prerequisite” modules are satisfactorily completed by the student. If such amendments to the scope of available courses/work options are made at any point, CHT’s policies will be updated to reflect such options.
Students are expected to conduct themselves in a respectful manner toward themselves and all course attendees and instructors in all class formats. Repeated interruption(s), foul or abusive language, or verbal slurs and/or physical violence or threats of any nature will not be tolerated, and will be grounds for immediate dismissal from a given course or module.
Purposeful abuse including, but not limited to, that described above may result in the barring of the offending student from further participation in any programmatic offering by CHT.
A zero-tolerance policy will be maintained for any behavior deemed by the instructor to be directly abusive (either verbally or physically) toward attendees or persons of any classification outlined in Admission Standards will be grounds for permanent removal from matriculation, without the option to re-enroll.
A progressive discipline policy, defined by the “three strikes” rule, will be in effect for behaviors deemed disruptive, but not abusive. A course cumulative “three strikes” will be allowed to each student before removal from a given course.
The student may re-enroll from a course from which they were removed for disruptive behavior at a later
date, if approved by the Director. A second removal from any course for disruptive behavior will result in the student banned from matriculation at CHT permanently.
Tuition varies by courses selected. Tuition for a complete 75 hour course of study leading to a certificate of course completion needed for a student to apply for Washington State Home Care Aide license is currently $525.00.
A full listing of costs per course is available on our website. Costs will be paid prior to matriculation. Payment in full allows the student to access course portions/classroom days at their convenience. Lab/clinical days will become available to students after completion of all prior portions

Our refund policy in compliance with WAC 490-105-130.
As pertains to student enrollment/withdrawal/termination, the official date of termination or withdrawal of a student shall be determined in the following manner:
Refunds will be calculated using the official date of termination or withdrawal and the date designated on the current enrollment agreement executed with the student.
Refunds will be paid within thirty calendar days of the student’s official date of withdrawal or termination. As calendar days of instruction at CHT are generally topically based, and may lead to issuance of individual certificates for completion of a topical course which may itself be a requirement for completion of a full 75 hour training certificate, any individual course taught over the course of an instructional day which was not completed at the time of withdrawal/termination (in the case of emergency, or in cases of dismissal for disruptive behavior, for example) must be repeated by the student if applicable for credit/certification to be received.
Refunds issued due to withdrawal in the midst of a given course will be determined in amount by the terminal certificate received, even if additional instruction had/has been received by the student in the interim.
For example, if a student enrolls for the full available 75 hour curriculum leading to issuance of a training certificate needed to apply for the Washington State Home Care Aide licensure examination, attends a five (5) credit hour Safety and Orientation course (a certificate yielding course in itself) as part of this curriculum, and ,after that point, completes three (3) additional hours of the Core Basic curriculum (a certificate yielding course of multiple days duration), and then withdraws from the curriculum with no plans to return, the granted, prorated refund will be granted based on only the terminally issued certificate evidencing a completed five hour Safety and Orientation course, and not the fully attended total of eight hours of attended instruction in such a case.
Thus, the granted refund will be determined mathematically as follows:
Application/registration fees may be collected in advance of a student signing an enrollment agreement; however, all monies paid by the student shall be refunded if the student does not sign an enrollment agreement and does not commence participation in the program.
CHT will refund all money paid if the applicant cancels within five business days (excluding Sundays and holidays) after the day the contract is signed or an initial payment is made, as long as the applicant has not begun training; the applicant may request cancellation in any manner, in the event of a dispute over timely notice. The burden of proof rests on the applicant.
CHT may retain an established registration fee equal to ten percent of the total tuition cost, or one hundred dollars, whichever is less, if the applicant cancels after the fifth business day after signing the contract or making an initial payment. A “registration fee” is any fee charged by a school to process student applications and establish a student records system.
If training is terminated after the student enters classes, the school will retain the fees as established above.
If instruction in any program is discontinued after training has begun or if the school moves from one location to another, CHT will either:
If CHT plans to discontinue a program it will notify the Washington Workforce Training and Coordination Board, and the affected students at least 3 business days in advance. The notification will be in writing, delivered by certified mail, and will contain the following information:
Additional self-reporting actions will be undertaken by CHT in the event of above scenarios, as to comply with WAC 490-105-210
